Current Needs

Billing & Accounts Receivable Manager - Hartford, CT

Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Billing and Accounts Receivable Manager with a minimum of seven years of experience in a law firm billing department or similar professional services environment. Five years of staff supervision is also required. This dual role will be responsible for overseeing both the client billing and accounts receivable functions performed by 11 FTEs. 
Responsibilities include but are not limited to:
•    Monitors and manages the daily operations of the billing and e-billing functions, including error-free timely issuance of bills and timely collection of receivables.
•    Monitors Billing Attorney activity and works with firm management to address any instances of non-compliance with firm billing and collections policies.
•    Maintains SOPs and trains staff on new billing protocols, software, and best practices.
•    Oversees New Business Intake process (excluding conflicts checking process) and the maintenance of client-matter information
•    Ensures timely processing of time and disbursement adjustments and AR write-offs 
•    Management and oversight of client funds accounts.
•    Occasional travel to other Firm offices to meet with Billing Attorneys as required. 
•    Regularly scheduled presence in Hartford Office is required if primary location of positon is outside of Hartford.

Associate Degree or equivalent experience required. Prior law firm billing experience is preferred. Strong knowledge of rates, ABA phase-task codes, matter budgets and the ability to handle varied billing methods and formats. Excellent computer skills including Word, Excel, Outlook and familiarity with Windows based applications. Experience with Aderant (or similar program) and Intapp’s OIS  (or similar new business in-take program) is a plus.

Commercial Real Estate Paralegal - Boston, MA

The Boston office of Robinson & Cole LLP, an Am Law 200 firm, is seeking a full-time Paralegal to join our commercial real estate team.  Ideal candidates will have at least five years of commercial real estate experience assisting  attorneys in all aspects of transaction management,  including document review, closing preparation, due diligence review, escrow coordination,  preparing transaction binders and drafting correspondence and corporate documents. The candidate should have familiarity with all aspects of commercial mortgage lending and finance transactions. Excellent verbal and written communication skills are required,  as are the abilities to draft settlement statements, and  to review title commitments,  survey, title insurance policies and endorsements.

Requirements: Bachelor’s degree and prior real estate experience required.  Paralegal certificate preferred. Massachusetts Notary preferred.  Candidate must be detail oriented, proficient with Microsoft Office, including Excel,  and be highly motivated with strong organizational skills and the ability to prioritize tasks. Must take initiative, anticipate needs and follow specific detailed procedures. Flexibility for overtime is a must.

Legal Administrative Assistant - Miami, FL 

The Miami office is seeking a full-time highly skilled Legal Administrative Assistant to support our Litigation section.  

This position will collaborate with various internal departments to open, close and reactivate matters, generate inquiries and reports, track and enter time, prepare client bills and respond to client billing inquiries, and complete submissions for expense reimbursements and check requests. Additional responsibilities include managing and organizing the attorney’s practice, including calendar management, scheduling travel arrangements, preparing correspondence, assisting with reception services, facilities requests, and completing special projects as assigned. 

Qualified candidates will have the following: 
•    Minimum of 3 years of legal administrative experience, litigation experience strongly preferred 
•    Proficiency in MS Word, Power Point and Excel, iManage, Aderant as well as contact management software 
•    Experience with state and federal court filing and complex billing and time entry 
•    Strong document production skills
•    Ability to function independently in a fast-paced environment
